Tot Quest Privacy Policy

Effective date: 20 August 2026. This privacy policy applies to the Tot Quest mobile app, web app and partner/admin services.

1. What Tot Quest Is

Tot Quest is a parent-led family platform for children aged 0-5. It helps parents, guardians, grandparents, childminders and carers find screen-free activities, manage child profiles, record progress, earn points and redeem rewards with participating businesses and organisations.

Tot Quest is intended for adults to manage. Children do not create their own public accounts and Tot Quest does not knowingly collect personal information directly from children.

2. Information We Collect

Depending on how you use Tot Quest, we may collect:

• Account information, such as name, email address, authentication identifiers and account settings.
• Parent or partner profile information, such as display name, business name, contact details, business address, website and verification details.
• Child profile information provided by a parent or guardian, such as a child's first name or nickname and age range.
• Activity and progress data, such as activities viewed or completed, points, stars, badges, reward claims and redemption history.
• Photos or images voluntarily uploaded by an adult user, such as private memory photos, profile images, reward images or partner logos.
• Approximate or precise location if you choose to use nearby rewards or location-based discovery. You can deny location permission and still use core app features.
• Camera access when a partner or staff user chooses to scan a reward QR code. Camera access is used for scanning and is not used for advertising.
• Purchase and subscription information needed to provide optional in-app purchases, restore purchases and manage partner subscriptions.
• Device, app and technical data, such as device type, operating system, app version, language, log data, diagnostics and security events.
• Support messages, feedback and communications you send to Tot Quest.

3. How We Use Information

We use information to:

• Create, authenticate and manage accounts.
• Provide child profiles, activity recommendations and progress tracking.
• Operate points, badges, rewards, QR codes and redemption history.
• Show relevant partner rewards and nearby family-friendly options.
• Process optional purchases, subscriptions and purchase restoration.
• Review partner applications and manage partner access.
• Provide support, respond to messages and send important service updates.
• Protect the service from abuse, fraud, errors and security incidents.
• Improve Tot Quest features, reliability, accessibility and content.
• Comply with legal, tax, accounting and regulatory obligations.

4. Sharing Information

We do not sell personal information. We share information only where needed to run Tot Quest, provide requested features, comply with law or protect the service.

We may share limited information with:

• Hosting, database and authentication providers that store and process Tot Quest data.
• Payment and subscription providers, including app store billing, RevenueCat and GoCardless, where needed for purchases or subscriptions.
• Email, support, security, analytics or operational service providers used to run and maintain Tot Quest.
• Participating partners for reward redemption. Partners see the information needed to validate and manage a reward, such as claim or redemption status, reward details, location and aggregated campaign analytics. Parent email addresses and child profile details are not shared with partners for ordinary reward redemption.
• Authorities, regulators or professional advisers where required by law or necessary to protect rights, safety or security.

5. Photos, Memories and Child Privacy

Memory photos are optional and parent-controlled. Tot Quest does not require users to upload photos of children to complete activities or earn points. Photos are not displayed publicly by default. Adults should only upload photos they have the right to use.

Child profile information is kept minimal and is used to help parents choose age-suitable activities and track progress. We do not knowingly sell, advertise to, or build advertising profiles about children.

6. Permissions

Tot Quest may request the following permissions:

• Internet access, to connect the app to Tot Quest services.
• Camera, for QR reward scanning and user-selected image capture or upload features.
• Location, to help show nearby rewards and partner locations when you choose to use location-based features.
• Storage or photo access, where needed for user-selected uploads or saving files on supported devices.
• Notifications, where supported and only if enabled, for service messages and app updates.
• Billing, to support optional in-app purchases and subscriptions.

7. Data Security

We use technical and organisational measures designed to protect personal data, including encrypted transport using HTTPS/TLS, managed cloud infrastructure, authentication controls, access restrictions, release checks and security reviews. No online service can guarantee absolute security, but we work to protect Tot Quest data against unauthorised access, loss, misuse or alteration.

8. Data Retention and Deletion

We keep personal data for as long as needed to provide Tot Quest, maintain accounts, meet legal obligations, resolve disputes, prevent fraud and operate the service.

Users can request account deletion from within the app settings or by contacting hello@totquest.co.uk. Account deletion removes the account and associated user data unless we need to retain limited records for legal, tax, accounting, security, fraud prevention or dispute reasons. Routine backup copies are removed or overwritten according to backup retention cycles.

9. Your Rights

Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing of your personal data, request a portable copy of data, and withdraw consent where processing is based on consent. To make a request, contact hello@totquest.co.uk.

10. International Processing

Tot Quest uses contracted cloud and service providers. Data may be processed in the United Kingdom, European Economic Area, United States or other countries where those providers operate. Where required, we use appropriate safeguards for international transfers.

11. Cookies and Similar Technologies

The Tot Quest web app uses necessary cookies or local storage for authentication, security and app functionality. Tot Quest does not use third-party advertising cookies.

12. Changes to This Policy

We may update this privacy policy from time to time. The latest version will be posted on this page. If a change is significant, we may provide additional notice in the app or by email.
